Privacy policy 

This policy has been put together by Ruth Beattie, Olivia Butterworth and Sarah Marsay, working together as All About People. We can be contacted at hello@allaboutpeople.org.uk

Purpose

We collect and process personal data in order to: 

  • Tender for opportunities, establish a contract and effectively deliver agreed work. This includes designing and providing services based on information about clients / client organisations, communicating about the services being delivered, and appropriately tailoring our work. 

  • Communicate about our services. This includes providing updates to clients / client organisations and others who have requested or agreed to receive updates. 

  • Communicate to participants and potential participants in our engagement events and other activities. This includes sending invitations and links to events and surveys, and sharing reports and other outputs.

  • Communicate on behalf of client organisations with stakeholders, partners, community members, voluntary groups, and others. This includes providing information and updates about our work, and sharing invitations and requests for onwards distribution. 

  • Process invoices and payments and meet tax obligations.

Types of information 

We currently collect and process the following personal information:

  • Personal identifiers and contact details. This includes names, preferred pronouns, email addresses, telephone numbers, postal addresses, work or volunteer titles / roles, employing organisations and similar information.  

  • Meeting, session and event notes, outcomes, and planning documentation. This includes attendees, contributions / information shared, and agreed actions. 

  • Personal characteristics. This includes demographic data, collected as part of anonymous surveys or forms, and always with an option to ‘opt out’. This may include ‘special category data’ (racial or ethnic origin, sexual orientation). If processing special category data, this will always be recorded anonymously, and with your explicit consent. 

Storage, access and sharing

Your information is securely stored on password-controlled laptops, password-controlled phones, and protected online storage Cloud. Only Ruth Beattie, Olivia Butterworth and Sarah Marsay have access to these records. Where necessary, information may be shared with identified contacts at client organisations, in fulfilment of contractual obligations.  

Your information may be stored for up to 7 years, but you have the right to ask for your data to be deleted at any time. You can do this by contacting hello@allaboutpeople.org.uk

Legal basis 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing personal information are either:

  1. Your consent. You are able to remove your consent at any time. You can do this by contacting hello@allaboutpeople.org.uk 

  2. We have a contractual obligation.

  3. We have a legal obligation. 

  4. We need it to perform a public task.

  5. We have a legitimate interest.

When contracted to deliver agreed work, we will follow the Privacy Policies, Information Governance Policies and related policies and procedures of client organisations. 

Your rights 

Under data protection law, you have rights including:

  • The right to be informed about the collection and use of your personal data.

  • The right to access and receive a copy of your personal data, and other supplementary information.

  • The right to have inaccurate personal data rectified, or completed if it is incomplete.

  • The right to have personal data erased (within certain limits).

  • The right to restrict processing.

  • The right to data portability.

  • The right to object to the processing of personal data in certain circumstances.

  • Rights related to automated decision-making including profiling.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

In exercising your data protection rights, you should understand that in some situations we may be unable to fully meet your request. For example, we may be required to retain some data for taxation, legal, regulatory or insurance purposes.
